Your First Week in TapSlot: What to Set Up Right Away
A short checklist: schedule, services, and Telegram notifications – everything ready in under an hour.
Most trainers put off setting up online booking because they're waiting for the "right moment" or think it'll take all day. It won't. We've walked hundreds of clients through this process — here's what you actually need to do in your first week to get the system running.
Business profile
First things first — basic information. This takes 3–5 minutes.
What to fill in:
- Your business name or your own name — clients will see this on the booking page
- A short description: who you are and what you do
- Address or area if you work in one location
- Time zone — important so slots display correctly
Don't overcomplicate it. You don't need perfect copy on the first try. Write something honest and short: "Personal trainer in Warsaw. Sessions at the gym and online." You can always update it later.
Services and classes
Add the things clients will book.
A typical trainer setup:
- Personal training — 60 min
- Group class — 45 min (if you run groups)
- Consultation / trial session — 30 min
What to specify for each service:
- Name — something clients understand, no jargon
- Duration — the system automatically blocks off the right time in your schedule
- Capacity — important for groups, set to 1 for personal sessions
- Price — enter the amount clients see when booking. Payment is collected in person at the session
Tip: start with 2–3 core services. Add more later once the system is running.
Schedule
This is the most important step. Your schedule determines when clients can book.
How to approach it:
Don't try to account for every nuance on the first try. Start with a typical week:
- Mark your working days and hours
- Block off lunch and personal time
- Leave a buffer between sessions — at least 15 minutes
Example of a simple schedule:
- Mon, Wed, Fri: 8:00–13:00 and 16:00–20:00
- Tue, Thu: 10:00–14:00
- Sat: 9:00–12:00
- Sun: day off
Clients only see available slots — they don't know why a slot is taken, they just see it's unavailable. That's fine.
Telegram notifications
This is what makes the system feel alive. Without notifications you'd have to check the dashboard to see new bookings. With notifications — everything comes to you.
How to connect:
- Go to Settings and open the "Notifications" tab
- Click "Connect Telegram" — this opens the bot
- Telegram will open and the connection happens automatically
- Go back to settings and click "Send test notification" — make sure it comes through
What you'll receive:
- New booking: client name, service, date and time
- Cancellation: who cancelled and when
- Reminder 24 hours before the session
This takes 30 seconds and completely changes how you handle bookings.
Your booking link
After setup you have a personal link — b.tapslot.app/your-name. This is the page where clients see your schedule and book.
Where to put the link right now:
- Instagram: link in your profile bio — the most common place clients come from
- WhatsApp: status or pinned message in client chats
- Telegram: if you communicate with clients there
- Email: add it to your signature
QR code: you can download a QR code for your page from the dashboard. Print it and hang it at the gym — clients scan and book right away.
Don't wait until everything is "perfect". Put the link up today, even if the schedule isn't fully configured yet.
Test booking
Before sending the link to clients — book yourself.
What to check:
- Open your link in a browser (ideally on your phone)
- Pick a service and a time
- Complete the booking
- Make sure a notification arrives in Telegram
- Check the dashboard — the booking should appear in your schedule
This takes 2 minutes. But you'll know everything works and understand exactly what your client sees.
After the test: delete the test booking from the dashboard so the slot becomes available again.
